Project Facilitator

Causeit, Inc. is a futurist think tank and innovation consultancy focused on raising digital fluency around the world through our corporate clients and social impact projects. Our leadership team needs an experienced and skilled project facilitator with the capabilities and confidence to manage workflows and communicate directly with our clients, including SVP and C-suite/MD level stakeholders and their staff. Your close partners will be the Causeit co-CEOs and Experience Strategist, as well as project managers and product owners on the client side. This role involves a broad range of activities crucial to client projects and relationships and includes project management and administrative tasks.
PM Accountabilities
Set up and manage projects and workflows in Asana and client tools (MS Planner, spreadsheets, etc)
Track project pivots and additions
Communicate with team members about project progress
Regularly balance and prioritize the workload of team members
Manage milestones, tasks, critical paths, budgets and dependencies
Own and co-create an internal wiki of key decision principles, processes and procedures
Proactively communicate with internal and external stakeholders
Manage review and edit cycles for a large, evolving body of content, including video
Admin Accountabilities
Keep a graceful calendar for three executives, including management of scheduling, hand-offs, work blocks and time zones
Work with and co-create “machine coworkers,” like automated scheduling systems, in conjunction with our Technology Lead
Track key client and partner communications and relationships involving execs
Update client and partner records in our CRM
Provide individual task management support to exec-level team members, including ‘triage support’
The basics
This is a full-time, salaried position. Part-time and/or hours flexibility is available for exceptional applicants through the end of 2021, if needed
Our current PM is moving laterally within the company, and will be able to orient you during your onboarding and provide institutional knowledge on an ongoing basis
External client stakeholders tend to work in eastern North America or European time zones, so your schedule must be able to regularly accommodate meetings in those time zones

Requirements
A very strong command of the English language and business communications
Experience managing complex initiatives in business settings
Unusually powerful written communication skills which can be adapted for various levels of detail, formality and urgency across a broad spectrum of roles on the client-side
Strong self-management skills
Intrapreneurial mindset (i.e. owning the outcomes of your work, being personally committed to excellence in your role, looking for opportunities to improve and enhance areas of the business you touch)
Ability to pass a background check (ask if needed)
An empowered relationship with technology: experience and interest in using technology as part of your daily work. For example, willingness to read manuals, experiment with things, automate rote tasks and augment your own capacity with digital tools
Desire and excitement to change things from ‘within the system’ through our clients

Prior experience with content project management (written, video, visual and web) and corporate consulting project management (client-agency relationships)
Experience with our specific technology stack (see below), especially Airtable

What does Causeit do?

Where is the job?
Much of our team is based in Portland, OR in the US. However, we have team members in San Francisco, Toronto, and London—and are open to applicants from many locations.
What experience translates well to this role?
Digital or web agency, content production, editorial shop and/or publishing experience parallel the pace and evolving nature of our workflows. Our deliverables center on content (like our constantly-evolving Causeit Guide to Digital Fluency) and professional experiences like webinars, major online (or in-person) events, and executive-level innovation consulting. Experience leading or working in blended client/internal teams would set you up well for the complexity of scheduling, task management, and handoffs that occur in our larger client-facing projects.
What kind of technology will I use?
Our entire company is fully digital. All parts of our business are managed with digital tools. Our documents are usually created in the Google ecosystem. Our creative work occurs in Apple’s Keynote and Adobe’s Creative Cloud tools. Video is edited in Descript, Final Cut Pro, and Premiere. We do Microsoft when we have to for clients. Our projects are managed in Asana. We brainstorm and design experiences in Miro. Our custom and/or complex work occurs in Airtable, and is stitched together with Zapier. We communicate via Slack (and whatever clients need, like Zoom, MS Teams, Google Meet, etc).
What kind of people are you?
We’re a community-minded business. Parts of our work can feel like a family-owned firm, because of our deep care for each other. It is not uncommon for our team members to work at Causeit for at least five years, growing along the way. Causeit is Queer-owned and managed, and has a diverse employee body by several measures. What’s the workplace like?
As a fully-digital company, many of our roles can be done from anywhere in the world. We are based on the US West Coast, and appreciate applicants who can work with us in Portland, Oregon. We have had office space in the past and will likely resume having in-person workplaces in the coming year, but even pre-pandemic, day-to-day meetings were never assumed to be in-person. We are committed to including team members from all locations in many ways, with hybrid office experiences using high-definition audio/video and cloud-based systems for asynchronous and realtime collaboration.
Travel?
Yes, you should expect your role post-pandemic to include opportunities for 20-40% travel for sprints with each other and clients. We usually go to fun places (London, New York, the Bay Area, Toronto and various points throughout Asia and Latin America were regular destinations for us pre-pandemic). Causeit has worked on every continent except Antarctica.
